assist in planning your special event Monday-Friday 9:00am - 5:00pm. Please contact our catering

Meeting Room and Equipment
Please reserve all non-food related equipment by contacting Hofstra’s event management department at
516-463-6631. This will include room reservation, set and room configuration, audio visual and other
general information. Please contact the catering office at 516-463-5395 immediately with any changes
made with event management.
Policies & Procedures
To ensure optimal selection and the best possible service we kindly ask that events be booked at least
seven (7) business days in advance. We understand events arise unexpectedly and we will do our best to
accommodate your needs. Orders received three (3) business days or less prior to the date of your event
are subject to late fees and product availability are not guaranteed. For non-Hofstra events, a 20% deposit
will be required to confirm booking. Deposits will only be allowed in the form of cash, credit card,
money order and certified check.
We kindly request a confirmed number of guests be specified three (3) business days prior to the event.
This number is considered the guaranteed guest count.
Events are billed in four-hour increments or less. Events exceeding the four-hour limit will be subject to
additional service fees.
We kindly request that cancellations must be made five (5) business days prior to the contracted event
date. In the event of a cancellation less than five (5) business days the client will be responsible for the
following fees: four (4) business days prior to event- fifty percent (50%) of the event price, less than
seventy-two (72) hours of the event- one hundred (100%) percent of the event price.
Service ware and China
All disposable service ware will be furnished as accompaniment to all items purchased. Some exceptions
apply to orders being picked up. We provide high quality disposable plastic ware. China and glassware is
available for an additional charge.
Tablecloths are supplied for all food and beverages service tables at events. Tablecloths for non-food
tables are available for an additional $7.00 (85s) or $24.80 (120s), per table. Special color may be limited
and will be subject to a different charge.
Wait Staff and Attendant Fees
Catering packages that requires attendants such as bartenders, chefs or wait staff with be charged an
attendant fee of $202.30 per attendant. Events over 100 guests will automatically be charged with a
minimum of $202.30.
Special diets are accommodated upon request, we kindly request that your needs be submitted as soon as
possible and may be subject to an additional charge. Specials requests less than 24 hour notice may not be
Any other services such as floral arrangements, furniture, equipment and small ware rentals are subject to
an additional charge.
All none Hofstra paid events will be subject to a 20% administrative fees and NYS sales tax.
Tax-exempt forms must be faxed to our office at 516-463-6121 three (3) business days prior to the event.
Billing & Payment
In order to use the Hofstra budget number as payment, the correct budget number and the signature of the
authorizer must be obtained 72 hours prior to the event and no later than the day of the event. If signature
is not obtained prior to the event, an authorized signer must be present at the event to sign. All other
events must be paid in full 48 hours prior to the event with one of the following methods: cash, credit
card, money order and certified check.
